- Work from your device list
- Upload the list of devices to replace. As people book and attend, each device is marked done, so the progress figure is devices finished and not appointments made.
- Ask before they arrive
- A short form at booking collects the asset tag, the department and anything awkward, and can send people to the right kind of session for their kit.
- Stop chasing by hand
- A scheduled email goes to everyone who still has not booked. It leaves out each person the moment they book, so nobody is nagged twice.
- Let people do it themselves
- Where a swap needs no engineer, publish a step-by-step guide instead. Staff follow it, report they are done, and you approve the result.
A two-week laptop refresh
Upload the asset list and create sessions for each site.
Send one link. Staff sign in, answer three questions and pick a slot.
On Friday, the people who have not booked get a reminder, and only them.
On the day, the engineer ticks each person in and marks the device swapped.
The progress page shows 380 of 400 done, and the names of the other twenty.

- Training sessions Run mandatory or optional training in small groups. People choose a session, full ones take a waiting list, and you can see who has still to attend.
- Appointments and clinics Health checks, fittings, reviews and interviews. Offer timed appointments, send reminders, and let people move or cancel their own within your rules.
